TRIP & TRANSPORTATION MANAGER – CAMP WINADU
POSITION SUMMARY
Responsible for coordinating all aspects of every out-of-camp day trips and overnight trips. This includes: calendar management, transportation, venue planning, communication within the camp community (Office, Health Center, Kitchen), coordinating with directors, leadership and trip chaperones, and financial accounting. Providing a safe and fun experience is top priority. Serve as a positive role model and support for campers and staff.
EXPERIENCE AND SKILLS
- Knowledge of camp life is extremely helpful but not required
- Experience with event planning, administration and travel (personally and/or professionally)
- Experience in a work setting with collaborative work experience
RESPONSIBILITIES
Trip Planning
- Finalize itineraries for all day trips and overnight trips
- Manage Calendar: work at least 4-5 days ahead – communicating with all involved to ensure scheduling and to prepare for upcoming trips
- Contact venues to confirm reservations, provide final counts, coordinate payment, expectations and final details
- Confirm transportation with office – buses, drivers, car/van
- Communicate with Office, Health Center and Kitchen as to list of attendees, medication, special food, food/beverage orders
- Work with accounting intern/directors to organize venue payment, petty cash, camper cash
- Work with directors to ensure Group Leader/Trip Leader have received instructions re: itinerary confirmations, responsibilities while at venue, money, walking groups, departure times and locations, emergency contacts
Overall
- As part of the Office Administrative Team, be available to assist staff acclimate to camp life/structure
- Work with directors on staff travel: arrivals/departures
- Inventory all trip related supplies
- Expected to exhibit our core values and to adhere to all company policies and staff rules
- Other responsibilities as assigned: office coverage, answering phones, administrative tasks, mail and more.

This is a seasonal, paid position from mid-June to mid-August. Food, housing, a travel stipend, comprehensive staff training, and days off are included as part of the compensation package.
